Terms of Service

These terms govern your use of Creo Access, operated by Creo Systems ("Creo", "we", "us", "our"), accessible at access.creosystems.io. By creating an account or using Creo Access, you agree to these terms.

1. What Creo Access is

Creo Access is a subscription workspace for recruitment professionals, organised around the Role: the assignment a recruiter is working on. It helps you record and structure role information, work through recruiting conversations, organise candidate evidence, prepare candidate submissions, and produce recruiter working material with AI assistance.

The current service includes:

  • Roles and Role Memory. Create a Role and keep structured information about the assignment, including the original brief, requirements, outcomes, must-haves and preferences, unresolved items, your own edits, and a history of changes.
  • Creo Align. AI-assisted conversion of messy or incomplete role information into structured, recruiter-ready Role information.
  • Capture. Process recruiting conversations such as candidate screens, client or hiring-manager intake, hiring-manager check-ins and interview or candidate debriefs, from typed notes, transcripts or audio, into recruiter working material such as ATS-style notes, follow-ups, client updates, candidate or submission material and suggested actions.
  • Evidence and Candidate Cases. Supply candidate CVs, candidate information, supporting materials and linked conversations, and see them organised against the Role, including what the supplied material evidences, what it partly evidences, what remains a claim, what it does not establish, source citations, conflicting information and follow-up questions.
  • Candidate Submissions. Assistance preparing a recruiter-owned candidate submission brief from the evidence you have supplied, which you can edit, copy and export.
  • Ask Creo. Role-aware AI assistance for recruiter work.
  • Creo Actions. A daily action queue drawn from your recruiting work, with optional AI drafting of the follow-up message for an action.
  • Prompt Generator and Prompt Library. Create, save, refine and version prompts, optionally using Role context and optional candidate context you provide, alongside a library of reusable recruiter prompts.
  • Claude Skills. Downloadable Skill files supplied by Creo for use with Claude, a separate service operated by Anthropic.
  • Recent and pinned work. References to your own recent and pinned items so you can return to work in progress.

Creo Access supports your work; it does not make recruitment decisions. It does not autonomously hire, reject, rank or score candidates, decide whether a candidate is suitable, or make employment decisions. You remain responsible for reviewing what the service produces and for every recruitment decision you take.

Creo Access is not a candidate database, candidate marketplace or sourcing search tool. It works with the information you choose to supply, for the assignments you are working on.

2. Eligibility

You must be at least 18 years old and able to form a binding contract to use Creo Access. By signing up, you confirm this is the case.

Access is currently offered by invitation. Where access is provided free of charge during a founding pilot or similar pre-launch phase, that access is provided for the period we specify, does not require a payment method, is not a paid subscription, and does not consume any free trial you may later be offered. Free access is not permanent and can be ended or converted to a paid subscription with reasonable notice.

3. Your account

You are responsible for keeping your login credentials secure and for all activity under your account. Accounts are personal to you and are not intended to be shared. Tell us immediately if you suspect unauthorised access. We reserve the right to suspend or terminate accounts that violate these terms.

4. Third-party information you submit

Using Creo Access, you may submit information relating to other people, including candidates, clients, hiring managers and other business contacts. You remain the controller of that information and are responsible for ensuring you are permitted to collect it, to submit it to Creo Access and to have it processed for the purposes you have chosen, including providing any notices and holding any lawful basis or consent required in your jurisdiction.

You should submit only information you actually need for the assignment, and you should not submit special category or otherwise sensitive information unless it is genuinely necessary and you are permitted to do so. We act as your processor for the content you submit, and we process it to provide the service to you.

5. Subscription and billing

Creo Access is a single subscription product. Paid subscriptions are not yet on sale, and nothing in this section means a subscription can be purchased today. This section describes how subscriptions work when they are offered.

When subscriptions are offered, Creo Access is available on a monthly or annual basis at the price shown on our website at the time you subscribe, which is the commercial source of truth for current pricing. A free trial may be offered before the first payment. By subscribing, you authorise us to charge your payment method on a recurring basis until you cancel. Prices shown may exclude taxes, which are added where applicable. Prices may change with reasonable advance notice; continued use after a change takes effect constitutes acceptance of the new price.

You can cancel at any time from your account settings or the billing portal. Cancellation takes effect at the end of your current billing period; we do not provide partial refunds for unused time within a billing period, except where required by law.

Payments, when live, are processed by Stripe. We do not receive or store your full card details. Your use of Stripe's payment services is also subject to Stripe's own terms.

A small number of internal and legacy accounts hold access that is not billed through a subscription. Nothing in this section removes access already granted to those accounts.

6. Fair use of AI features

AI-assisted features and audio transcription consume resources we pay for, so your plan includes a fair-use allowance measured over a usage period, including an allowance for AI generation and for transcription. Where an allowance is reached, AI features may be paused for the remainder of the period while the rest of your workspace stays available. We may adjust allowances with reasonable notice, and we may limit or suspend automated or abnormally heavy use.

7. Acceptable use

You agree not to:

  • Share your account or login credentials with people outside your own organization without our agreement
  • Copy, resell, sublicense, or redistribute Creo Access content as a competing product or service
  • Use the platform to build a product that directly competes with Creo Access
  • Attempt to access, scrape, or extract the platform's content in bulk beyond normal personal or internal team use
  • Use the platform for any unlawful purpose or in a way that could damage, disable, or impair it
  • Upload or submit content you do not have the rights or authority to submit, or that infringes someone else's rights
  • Attempt to bypass access controls, authentication, usage limits or the security of the platform, or access another user's workspace or share links you were not given
  • Use AI-assisted output in a misleading, deceptive or unlawful way, including presenting it as verified fact without review
  • Reverse engineer or attempt to extract the underlying source code of the platform, except where applicable law gives you the right to do so

9. Intellectual property

The Creo Access software, the Prompt Library, the Claude Skills we supply, tutorials, weekly briefs and other content we provide are owned by Creo Systems or licensed to us, and are protected by copyright and other intellectual property laws. Your access gives you a personal, non-exclusive, non-transferable license to use this content in your own recruitment work for as long as your access is active. This license does not extend to reselling, redistributing or repackaging the content itself.

The content you submit remains yours. You grant us the license we need to host, process and display it in order to provide the service to you, including sending relevant parts of it to the AI services we use to generate the outputs you request.

Output produced with the service, such as a structured Role, a set of call notes, an evidence view, a candidate submission brief, an outreach message or a prompt you generate or refine, is yours to use in your recruitment work, subject to the rights of any third party in the underlying material and to the terms of the AI service involved. Output is not unique to you: comparable inputs can produce comparable output for other users.

If you send us feedback or product suggestions, we may use them to improve Creo Access without obligation to you.

10. Claude and other third-party services

Claude Skills are files we prepare and make available for download. Claude is a separate service operated by Anthropic, and other AI, payment and email services we rely on are operated by their own providers. We do not own, control or guarantee those services, and your use of them is subject to their own terms. Their availability, behavior and pricing can change independently of Creo Access.

12. AI-assisted output and disclaimers

AI-assisted output can be incomplete, out of date or wrong, including misreading a CV, missing something in a transcript, or stating something the supplied material does not support. Evidence language means what it says: "not established" means the material you supplied has not established a point, not that a candidate lacks the capability. Review output before you rely on it, act on it or send it to anyone.

Creo Access is provided "as is." We do not guarantee that any output will be complete, accurate or suitable for a particular recruitment decision, that a particular result will be produced, or that the platform will be uninterrupted or error-free. You are responsible for using output appropriately, including for accuracy, fairness, compliance and suitability, particularly around candidate information, employment decisions and regulated processes.

13. Limitation of liability

To the maximum extent permitted by law, Creo Systems is not liable for any indirect, incidental, or consequential damages arising from your use of Creo Access, including lost profits or business interruption. Our total liability for any claim relating to Creo Access is limited to the amount you paid us in the twelve months before the claim arose.

Nothing in these terms limits liability for something that cannot legally be limited, such as death or personal injury caused by negligence, or fraud.

14. Termination and what happens to your workspace

We may suspend or terminate your access if you breach these terms, including for non-payment or misuse of the platform. You may stop using Creo Access and cancel at any time as described above.

When paid or granted access ends, your workspace follows a defined lifecycle rather than disappearing at once: it remains available to you in read-only form for 30 days, after which it is retained but no longer accessible, and it is deleted 90 days after access ended. Reactivating access during the read-only period restores normal use. You can also delete your workspace data yourself at any time from Settings, which does not wait for that schedule.

15. Role Launch Pack (public tool)

The Role Launch Pack at access.creosystems.io/role-launch-pack is a free public tool that needs no account. It accepts a job brief and returns a launch pack in which every claim quotes the wording of the brief you supplied.

  • Role briefs only. Do not submit CVs, applications or other documents about named candidates. You are responsible for having the right to share whatever you submit.
  • Temporary. Packs are reachable only from their own private link and are deleted 7 days after creation. Save or print anything you want to keep.
  • Fair use. The tool applies usage limits, and we may pause it, restrict it or withdraw it at any time.
  • Recruiter judgment. The pack is working material to review, not advice and not a hiring decision. Section 8 applies to it in full.
  • Separate from your workspace. Nothing submitted to the tool becomes part of a Creo Access workspace, and no workspace information is used to produce a pack.

16. Changes to these terms

We may update these terms from time to time. If we make material changes, we will notify subscribers by email or via a notice on the platform. Continued use of Creo Access after changes take effect means you accept the updated terms.

17. Governing law

These terms are governed by the laws of the jurisdiction in which Creo Systems is registered, without regard to conflict of law principles. Any disputes will be handled in the courts of that jurisdiction, unless applicable consumer protection law gives you the right to bring a claim elsewhere.

18. Support

Support is provided by email from support@creosystems.io, from the Support screen inside Creo Access, and from the public Support page if you cannot sign in. We do not promise a response time and we do not offer a service-level agreement.

Please do not send candidate CVs, passwords, payment-card details or other sensitive personal information to support. If you do, we will delete it rather than act on it. What we collect when you contact support, who can read it and how long it is kept are set out in our Privacy Policy and on our Data handling page.
